O R D E R:

In the reference read above, the Managing Director, APSFTVTDC Ltd., Hyderabad has stated that the 18th International Children’s Film Festival 2013 will be held at Hyderabad from 14th to 20th November, 2013 jointly with the Ministry of Information and Broadcasting, Government of India. He has proposed a list of person to be included in the various Sub- Committees on behalf of the Government of Andhra Pradesh for conduct of 18th International Children’s Film Festival 2013.

2. The Government after careful examination, hereby constitute the following

Sub-Committees as detailed in the Annexure to this order:-

1. Hospitality & Reception Committee.

2. School Committee.

3. Transport Committee.

4. Theatre Committee.

5. Cultural Committee.

6. Media Relations Committee.

necessary action accordingly.

HOSPITALITY AND RECEPTION & GUEST RELATIONS COMMITTEE FUNCTIONS IN BRIEF

(i) In consultation and coordination with the Children’s Film Society India, Mumbai, arrangements should be made to receive the delegates (Foreign and Indian delegates)

(ii) Issue of Delegate registration cards to the children, adult delegates

and escorts of the children.

(iii) The safety and comfort of all delegates particularly children should

be of priority. The facilities / arrangements made to the delegates

should be clearly informed immediately after their reach to the place

of accommodation, and they should also be informed of the persons

to be contacted in case of need along with their mobile numbers.

(iv) The committee should coordinate with the Transport Committee and

deploy vehicles for taking the delegates to the respective hotels and

theatres & back.

(v) The committee should finalize the tariff of hotels and arrange for

blocking of sufficient number of rooms to be allotted to the

delegates, child delegates and Jury Members and arrange

breakfast/lunch/dinner.

(vi) The committee should also ensure setting up of Reception Counters

at Airport, Railway stations, Bus stations and places of accommodation.

SCHOOL COMMITTEEFUNCTIONS IN BRIEF

(i) The Committee shall take all possible steps to ensure that maximum number

of school children will participate in the 18th ICFF 2013.

(ii) The school Children suggested by each district [five each] shall be nominated as delegates. The District Education Department be requested to send the names and escort(s) who will be deputed. The Children attending the festival should bring with them identity cards and letter issued by the School Education dept.

(iii) Schools to participate in the cultural programmes and also in the workshops / seminar organized during the festival.

(iv) This time the age wise grouping has been made for enabling particular age

group children to attend the films meant for their age, and the committee shall

ensure viewing of these films as per the grouping.

(v) The Committee in consultation with the education department should draw up schedule of both Government and private schools to attend to the screening of the films and ensure that of maximum number of schools are covered.

(vi) The Committee in coordination with Theatre Committee will plan in such a

way that the schools identified are in close vicinity of the theatres earmarked

for screening of films so as to avoid problems in taking children to the

theatres.

FUNCTIONS IN BRIEF

(i) The Convenor of the Committee shall ascertain the requirement of vehicles

in consultation with all other Sub-Committees and CFSI and submit to the

committee.

(ii)The Transport Committee shall decide to engage buses from APSRTC and

Tourism Department for the purpose of transport of the school children

and delegate children.

(iii)The committee shall fix the tariff and agencies for providing the vehicles

for engaging the vehicles for the said purpose.

THEATRE COMMITTEEFUNCTIONS IN BRIEF

(i) The Theatre Committee shall finalize the required cinema halls for

screening of festival films.

(ii) The Committee shall negotiate with the Managements / Cinema halls and

fix the rentals for the festival period. The Committee may ensure that the

Cinema halls engaged for the purpose shall be maintained in perfect

condition for the screening of the films and also observe neatness /

cleanliness.

(iii) Make arrangements for public address system at all the theatres as required

by the CFSI.

(iv) The Theatre Committee shall be in touch with the School and Transport

committee for maximum participation of the schools and ensure

arrangements for seating of children, adults and press / media people in the

Cinema halls.

CULTURAL COMMITTEE FUNCTIONS IN BRIEF

(i) To plan & prepare the cultural programmes to be presented by the

Children at all the places as decided by the Managing Director,

APSFTvTDC.

(ii) The schools and other organizations who come forward with proposals

for cultural programmes shall be examined by the Committee and good

quality programmes are shortlisted.

(iii) The programmes shall be presented at the venues decided.

(iv) Special programmes are to be planned for the Inaugural and Closing Day

functions and for this the Committee shall take advance action for

finalizing theme / concept and take the approval of Managing Director-

APSFTvTDC.

MEDIA RELATIONS COMMITTEEFUNCTIONS IN BRIEF

(i) To coordinate with all the press, print and electronic media to ensure

adequate coverage. Provide the material including newsletter,

clippings, photographs, video tapes to press and media.

(ii) To coordinate organizing of press conference, interviews with film

makers participating in the festival. If required the committee may

evolve PR calendar and implement it.

(iii)The committee will also make arrangement for wide photo/video

coverage of all events on all the days.
